What personal data we collect and why

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string, to help with spam detection.

An anonymized string created from your email address (a “hash”) may be provided to the Gravatar service to check whether you use it. The Gravatar service privacy policy is available at https://automattic.com/privacy/. After your comment is approved, your profile picture is visible to the public alongside your comment.

Contact and quote request forms

When you submit an enquiry through our contact form, we collect your name, email address, phone number, postcode, and message. You may also optionally upload plans or images (up to 5MB) to help us understand your project.

We use this information to respond to your enquiry, provide a quote, and, where relevant, arrange a site visit or further discussion about your project. We do not use this data for marketing unless you separately opt in.

If you enquire about finance options, we may share relevant details with Phoenix Financial Consultants Limited (a credit broker authorised and regulated by the Financial Conduct Authority, FRN: 539195), who Hennessy Ltd is an Introducer Appointed Representative of, so they can assess and offer finance from their panel of lenders. All finance is subject to status and credit checks.

Media

If you upload images to the website, avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract location data from images on the site.

Cookies

If you leave a comment, you may opt in to saving your name, email address and website in cookies for your convenience, so you don’t need to re-enter these details next time. These cookies last one year.

If you visit our login page, we set a temporary cookie to check whether your browser accepts cookies. It contains no personal data and is discarded when you close your browser.

When you log in, we also set cookies to save your login information and screen display choices. Login cookies last two days, and screen option cookies last a year. If you select “Remember Me”, your login persists for two weeks. Logging out removes these cookies.

If you edit or publish an article, an additional cookie is saved in your browser. It contains no personal data, simply the post ID of the article you edited, and expires after one day.

We use Google Tag Manager to load Google Analytics and Google Ads Remarketing on this site. Google Analytics helps us understand how visitors use the site (pages visited, time spent, general location). Google Ads Remarketing allows us to show you relevant ads on other websites after you’ve visited our site, based on your browsing behaviour. You can opt out of Google’s use of cookies for personalised advertising by visiting Google’s Ads Settings at https://adssettings.google.com.

Who we share your data with

If you request a password reset, your IP address is included in the reset email.

We may share data with the following third parties who help us run this website and respond to enquiries:

• Phoenix Financial Consultants Limited — where you request information on finance options, to assess and arrange finance from their panel of lenders.
• Adverto Media — our website developer/host, who may have technical access to data stored on the site for maintenance purposes.

Our contact form is powered by Contact Form 7, which submits enquiries directly to our email inbox. It does not store submissions in a separate database on the site by default.

How long we retain your data

Comments and their metadata are retained indefinitely, so we can recognise and approve follow-up comments automatically rather than holding them in a moderation queue.

For registered users (if any), we store the personal information in their user profile. Users can see, edit, or delete their personal information at any time, except their username. Website administrators can also see and edit this information.

We only retain enquiry data for visitors who go on to become customers, as part of our project and customer records. If your enquiry does not proceed to a customer relationship, we do not keep your data on file beyond what’s needed to respond to your initial enquiry.

How we protect your data

We take reasonable technical and organisational measures to protect the personal data we hold, including using SSL encryption on this website, restricting admin access to authorised staff only, and keeping our website software up to date. While we take care to protect your data, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

What rights you have over your data

If you have an account on this site, or have left comments, you can request an exported file of the personal data we hold about you. You can also request that we erase any personal data we hold about you, except data we’re obliged to keep for administrative, legal, or security purposes.

Under UK GDPR you also have the right to: access your data, correct inaccurate data, restrict or object to processing, and data portability.

If you’re unhappy with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

Some of our third-party providers, such as Google (for Analytics and Ads Remarketing), may process data on servers located outside the UK, including in the United States. Where this happens, these providers are required to have appropriate safeguards in place, such as Standard Contractual Clauses, to protect your data in line with UK GDPR requirements.

Children’s privacy
